Museum : Project Management

Over the years Constantine has worked with the world’s leading museums and galleries, from picture galleries and archaeological museums, to museums of natural history and sculpture parks. In recent years Constantine has become adept at large museum decant projects & entire museum relocations.

At the core of our project management system is FADAS: Constantine’s project management database. FADAS means that we have one system in place to manage the entire process from estimating, through to project management and eventual invoicing. It has the flexibility to account for changes that may occur during an exhibition or project, while retaining a record of the original estimate.

All individual lenders with the relevant contacts are saved in a central database as well as in the individual job files. The details of the works are saved under the individual lender, and then the system stores the location from which the works have been collected, and the location to which they have been delivered.

Similarly, the system is used to generate all shipping-related documents, such as pro-forma invoices, packing lists, airway bills and labels, both for cases and individual objects.

Additionally, all courier-related information, such as hotel and flight details, installation schedules and pick-up times are stored in the system.

Importantly, every project coordinator has access to the system, and therefore every project file, so that information can be shared and easily located in the case of an absence.

Constantine’s case construction system is also linked-in, resulting in a paperless procedure. Co-ordinators can select an individual work or a selection of works, request the case to the specified brief as outlined by the museum or gallery, and then determine lining, the need for traveling frames, the use of a slotted or tray cases, and finally choose colour or varnish.
