Collector : Project Management

At Constantine, we have developed a team that is focused on providing a one-to-one service designed specifically for the private client. CMA – Collection Management Assistant
CMA is our in-house developed Collection Management System. Similar to the IMA, but with the capability to keep records about works once they have left the warehouse, or for works that will not come into the warehouse. The system has the capability to store both framed and unframed dimensions for each work. It can also store up to three images linked to each individual work, which is useful for sculptures, or if detailed images or close ups of certain sections are required, such as a signature or a pattern. The CMA also contains the information about the barcode, which was generated by the IMA and the location within the warehouse. Therefore the two systems (IMA and CMA) correspond and enable the same efficient retrieval from storage, while simultaneously keeping a record of the works.

In addition, CMA also allows for financial records, such as the acquisition price, insurance evaluation history and perhaps eventually also the sold value, to be saved within the database. This can also be viewed online and a Sold Report can be generated and exported to Microsoft Excel showing who sold the work and the actual sale price versus the acquisition price.

Personalised Condition Reports can be generated from the database, and then scanned in and linked to the work of art they relate to. The collector can then build up a library of reports on PDF format which can be viewed online at any point they might be needed.

The same applies for loan forms should the client wish for it. They can be saved in the database and the client can select the work online and print off the loan form to a Museum at a time convenient for him or her.

The Online Log-in, just like for IMA, is through a secure link, and the system is accessed through a remote server.

Thumbnails and full images are visible online and there are possibilities to create visual lists, select only certain works by a specific artist, and all lists selected can be downloaded into either Word or Excel.

Any changes made to the database are updated in real time and the client has their collection at their fingertips.
